Collecting and using your data
The Open University (OU) collects and processes a broad range of personal student data to fulfil our legal obligations and improve services and support to students.
We're committed to the data protection principles of good practice for handling information. All personal information is held securely and we will only transfer data within the OU on a 'need-to-know' basis so we can support our services to you.
Only staff who need to see students’ records have access to them. The computer systems that hold these records are structured in such a way that only members of staff with particular roles can view information.
When you first contact us, we create a record in your name. During your time studying with us, we also record when you take part in learning activities such as tutorials or online forums for your modules and your contact with us. It's stated in the Conditions of Registration that you provide certain information.
We record some phone calls to check that we’ve carried out your instructions and to help us in staff training.
The Open University uses your personal information to:
- register you as a student
- process your fee payment
- maintain your student record
- give you access to systems, exams and assessments, including any special circumstances arrangements
- provide support services which are necessary for your study
- manage any queries, complaints, appeals and allegations of misconduct
- identify if you require additional support or specific services
- ensure a safe environment.
